EezConvention Privacy Policy
This Privacy Policy explains how EezPlatforms LLC (“EezPlatforms,” “Company,” “we,” “our,” or “us”) collects, uses, stores, shares, and protects information when you use EezConvention, including our mobile applications, website, and related services (collectively, the “Platform”).
By accessing or using the Platform, you acknowledge that your information will be handled as described in this Privacy Policy. If you do not agree with this Privacy Policy, you should not use the Platform.
1. Scope of This Privacy Policy
This Privacy Policy applies to users of EezConvention, including convention organizers, administrators, committee members, volunteers, vendors, speakers, sponsors, guests, and other participants who access or use the Platform.
This Privacy Policy does not apply to third-party websites, services, venues, vendors, organizations, or platforms that we do not own or control, even if they are linked to or referenced from the Platform.
2. Information We Collect
We may collect the following categories of information depending on how you use the Platform.
Account Information
- Name;
- Email address;
- Profile image, if provided through your authentication provider or uploaded by you;
- Convention, committee, role, and membership affiliations;
- Account preferences and notification settings.
Authentication Information
When you sign in using third-party providers, such as Google Sign-In or Apple Sign-In, we may receive information authorized by you or provided by those services, including:
- OAuth or account identifiers;
- Email address;
- Name or display name;
- Profile image, if available;
- Apple private relay email address, if you choose to use one.
Convention and Committee Information
- Convention names, descriptions, schedules, locations, venues, and room assignments;
- Committee names, memberships, roles, and responsibilities;
- Task assignments, due dates, status updates, comments, and activity history;
- Announcements, messages, collaboration records, and administrative actions.
Uploaded Content
- Documents;
- Images;
- Schedules;
- Messages and comments;
- Vendor, venue, speaker, sponsor, or event-related information;
- Other content submitted, uploaded, or shared through the Platform.
Usage Data
- App interactions and feature usage;
- Pages, screens, or features accessed;
- Activity logs and audit records;
- Error reports and diagnostic information;
- Date, time, and frequency of Platform usage.
Device and Technical Information
- Device type and model;
- Operating system and app version;
- Browser type, where applicable;
- IP address;
- Mobile device identifiers or push notification tokens;
- Network and diagnostic information.
Support and Communications Information
- Support requests;
- Email communications with us;
- Feedback, questions, or reports submitted to us;

Offline Subscription and Customer Information
EezConvention does not currently process online payments, in-app purchases, digital subscriptions, ticket sales, escrow transactions, payment card processing, or consumer payment transactions through the mobile application or website.
If an organization subscribes to the Platform through offline, invoice-based, proposal-based, contract-based, order form, statement of work, or other direct commercial arrangements, we may collect business contact, billing contact, organization, invoice, subscription status, and account administration information needed to manage that offline relationship. We do not collect or store payment card information through the Platform.
3. How We Use Information
We use information to:
- Operate, maintain, and improve the Platform;
- Create and manage user accounts;
- Authenticate users through Google Sign-In, Apple Sign-In, or other supported providers;
- Provide convention, committee, scheduling, task, messaging, and document-sharing features;
- Manage role-based access permissions;
- Deliver push notifications, service emails, announcements, and administrative communications;
- Provide customer support and respond to inquiries;
- Monitor security, detect fraud, prevent abuse, and troubleshoot technical issues;
- Analyze usage trends and improve product functionality;
- Administer offline customer, subscription, invoice, and commercial relationships;
- Comply with legal obligations and enforce our Terms & Conditions.
4. Convention Administrator Access and Organizational Visibility
EezConvention is designed for organizations and conventions that may use administrators, committees, roles, and permissions to manage access to convention-related information.
Depending on your role and the permissions configured by a convention administrator, certain information you provide may be visible to other authorized users within the same convention, committee, or organization. This may include your name, email address, profile details, committee membership, assigned tasks, messages, comments, uploaded files, and activity related to convention operations.
Convention administrators may manage user access, committee membership, roles, permissions, schedules, documents, messages, and other convention-related records. EezPlatforms LLC is not responsible for how a convention or organization chooses to configure internal access permissions, provided such configuration is supported by the Platform.
5. Cookies and Similar Technologies
We may use cookies, local storage, analytics tools, and similar technologies to:
- Maintain sessions;
- Remember preferences;
- Improve user experience;
- Understand usage trends;
- Diagnose technical issues;
- Protect Platform security.
You may manage cookies through your browser settings. Some features may not function properly if cookies or similar technologies are disabled.
6. Analytics and Diagnostics
We may collect analytics and diagnostic information to understand how users interact with the Platform, identify errors, improve performance, and prioritize product improvements.
Analytics data may include device information, app version, feature usage, crash logs, screen interactions, and general usage trends. We do not use analytics to sell personal information.
7. Push Notifications
The Platform may send push notifications related to:
- Tasks;
- Announcements;
- Convention updates;
- Committee activity;
- Messages and collaboration updates;
- Administrative and security notices.
You may disable push notifications through your device settings. Some service-related or administrative communications may still be sent by email or through the Platform where necessary.
8. How We Share Information
We do not sell personal information and do not use personal information for cross-context behavioral advertising.
We may share information in the following circumstances:
- Within conventions and organizations: Information may be shared with authorized convention administrators, committee members, or other users based on roles and permissions.
- With service providers: We may share information with vendors that help us operate the Platform, such as cloud hosting, authentication, analytics, support, communication, and notification providers.
- With authentication providers: Information may be exchanged with Google, Apple, or other supported providers to authenticate your account.
- For legal and safety reasons: We may disclose information if required by law, subpoena, court order, governmental request, or if we believe disclosure is necessary to protect rights, safety, security, users, or the Platform.
- Business transfers: Information may be transferred as part of a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction involving EezPlatforms LLC.
- With your direction or consent: We may share information when you direct us to do so or consent to the sharing.
9. Third-Party Services
The Platform may rely on third-party services, including:
- Amazon Web Services (AWS) or other cloud infrastructure providers;
- Google Sign-In;
- Apple Sign-In;
- Push notification providers;
- Analytics and diagnostics providers;
- Email, support, or communication service providers.
These services may process information according to their own terms and privacy policies. We are not responsible for the privacy practices of third-party services that we do not control.
10. Google Sign-In
When using Google Sign-In, we may receive basic profile information authorized by you, such as your name, email address, profile image, and Google account identifier.
Your use of Google services is governed by the Google Privacy Policy.
11. Apple Sign-In
When using Apple Sign-In, we may receive your Apple account identifier, name if shared, email address, or Apple private relay email address if you choose to use one.
Your use of Apple services is governed by the Apple Privacy Policy.
12. Data Storage and Security
Data may be stored and processed using cloud infrastructure, including services operated by Amazon Web Services (AWS) or other providers.
We implement reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.
However, no method of transmission, storage, or processing is completely secure. We cannot guarantee absolute security of information.
13. Data Retention
We retain information for as long as reasonably necessary to:
- Provide and maintain the Platform;
- Support convention and committee operations;
- Maintain convention records and audit history;
- Administer offline customer or subscription relationships;
- Comply with legal, accounting, tax, or regulatory obligations;
- Resolve disputes;
- Prevent fraud and protect security;
- Enforce agreements and Platform policies.
Some information may remain in backups or disaster recovery systems for a limited period before deletion. Convention-related records may remain associated with the applicable organization or convention even after an individual user account is removed, subject to applicable law and organizational controls.
14. Account Deletion and Data Requests
You may request account deletion or submit a privacy request by contacting us at the email address listed below.
Depending on your role, convention membership, applicable law, and the nature of the information, deletion of your personal account may not automatically delete convention records, messages, tasks, uploaded files, audit logs, or organizational records that are needed for convention administration, legal compliance, security, backup, dispute resolution, or operational continuity.
15. Your Privacy Rights
Depending on your jurisdiction, you may have rights to:
- Access personal information we maintain about you;
- Correct inaccurate or incomplete information;
- Request deletion of personal information;
- Request a copy of certain information;
- Object to or restrict certain processing;
- Withdraw consent where processing is based on consent;
- Opt out of certain communications or data uses where applicable.

16. California Privacy Rights
California residents may have rights under California privacy laws, including the right to know, access, correct, delete, and limit certain uses of personal information, subject to applicable exceptions.
EezPlatforms LLC does not sell personal information. We also do not knowingly share personal information for cross-context behavioral advertising as those terms are defined under applicable California privacy laws.

17. International Users
If you access the Platform from outside the United States, you understand that your information may be transferred to, stored in, and processed in the United States or other countries where our service providers operate.
Data protection laws in those locations may differ from those in your jurisdiction. Where required, we will take appropriate steps to protect personal information in accordance with applicable law.
18. Children’s Privacy
The Platform is not intended for children under 13 years of age, and we do not knowingly collect personal information from children under 13.
If we become aware that we have collected personal information from a child under 13 without appropriate consent, we will take reasonable steps to delete that information.
If your organization or convention involves minors, the organization and its administrators are responsible for ensuring that appropriate permissions, consents, and safeguards are in place before adding or sharing information about minors through the Platform.
19. No Sensitive Personal Information Required
The Platform is not designed to collect sensitive personal information such as Social Security numbers, government identification numbers, financial account numbers, payment card numbers, health records, biometric identifiers, or precise geolocation data.
Users should avoid uploading unnecessary sensitive personal information to the Platform. If users choose to upload sensitive information in documents, images, messages, or other content, they are responsible for ensuring they have appropriate authority and legal basis to do so.
20. Offline Payments and Payment Card Information
EezConvention does not collect or process payment card information through the Platform. We do not currently support online payments, in-app purchases, digital subscriptions, ticket sales, escrow payments, or consumer payment transactions through the mobile application or website.
Offline subscription billing, invoices, proposals, order forms, statements of work, taxes, refunds, renewals, cancellations, and payment obligations are handled outside the Platform through separate commercial arrangements between EezPlatforms LLC and the applicable organization or customer.
21. Communications Preferences
You may manage certain communication preferences through the Platform, your device settings, or by contacting us.
You may not be able to opt out of essential service, security, administrative, or account-related communications because those communications are necessary to provide the Platform.
22. Data Accuracy
Users and convention administrators are responsible for ensuring that the information they provide through the Platform is accurate, current, and appropriate for the intended convention or organizational purpose.
If you believe information associated with your account is inaccurate, you may update it through the Platform where available or contact us for assistance.
23. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Updated versions will be posted on the Platform with a revised “Last Updated” date.
For material changes, we may provide additional notice through the Platform, email, or other reasonable means. Continued use of the Platform after updates become effective means you acknowledge the updated Privacy Policy.
